Privacy Policy

Last updated: November 2, 2026

PandEvent helps hosts plan events and keep their guests informed. We collect only what that takes, we never sell personal information, and we don't show ads or track you across other sites.

Who we are

PandEvent is operated by Ogle IT Services, Nashville, Tennessee, USA ("we", "us"). Questions or requests: [email protected].

PandEvent is in a private beta. Features and this policy may change as we build it; see "Changes" below.

Hosts and guests

  • Hosts are the people and organizations who create events on PandEvent. They decide who is invited and what guests are asked.
  • Guests are the people a host invites, or who sign up for a host's public event.

For guest information, the host decides what to collect and why, and we handle it on the host's behalf. If you are a guest with a question about an event, start with its host. You can also write to us and we will help.

What we collect

From hosts

  • Name, email address and password (passwords are handled by our sign-in provider; we never see them).
  • Account details you enter: the account name, colors, and a support contact (name, email, phone) shown to guests.
  • Event details: names, dates, places, descriptions, cover pictures, activities, times, questions and messages.
  • Feedback you send us through the app.

About guests (entered by the host or by the guest)

  • Name, email address and, if the host asks, a phone number.
  • Replies (going or not), plus-ones, bookings for activities and times, and answers to the host's questions.
  • Notes a host keeps about a guest, visible only to that event's hosts.
  • Whether the guest has turned off reminder emails.

From people who sign up for the beta

  • Your name, email address and your answers about the events you plan, from the form at pandevent.com/beta. We use them only to choose testers and to contact you about the beta.

Automatically

  • Records of emails we send for an event (to whom, when, and whether they were delivered).
  • Technical logs from our hosting provider, which include IP addresses, pages requested and times. We use them to keep the service running and secure.
  • A pseudonymous counter used to limit repeated requests and prevent abuse.

We do not collect payment details, and we do not buy information about you from others.

How we use it

  • To run events: show event pages, take replies and bookings, and send invitations, confirmations, reminders and host announcements.
  • To let hosts manage their events and guest lists.
  • To keep PandEvent secure, prevent abuse, and fix problems.
  • To answer your questions and feedback.
  • To meet legal obligations.

We do not sell or rent personal information, share it for advertising, or use it to build marketing profiles.

Who can see it

  • The event's hosts see their guests' details, replies, bookings and answers. Other PandEvent hosts cannot.
  • Other guests see only what an event page shows, such as the host's support contact. Guests don't see each other's details.
  • Service providers that run parts of PandEvent for us, bound to use data only for that purpose:

We may also disclose information when the law requires it, to protect people's safety or our rights, or as part of a sale or reorganization of the business, in which case this policy continues to apply.

Cookies

PandEvent uses only cookies it needs to work:

  • A sign-in cookie that keeps hosts signed in.
  • A guest access cookie that lets a guest return to their event from a private link.
  • A security cookie that protects forms from being submitted by other sites.

We don't use advertising or analytics cookies, so there is nothing to opt out of.

How long we keep it

  • Email contents are deleted 90 days after sending; delivery records after one year.
  • Events and guest information stay while the host's account is active, so hosts can keep their history. A host can remove a guest or an event at any time.
  • Guest-list import previews are deleted when they expire.
  • Beta sign-ups are deleted one year after you sign up, or sooner if you ask.
  • Abuse-prevention counters are deleted daily once they expire.
  • Hosting logs are kept by our hosting provider for a short period, typically days to weeks.
  • If a host closes their account, we delete its events and guest information within 30 days, except where the law requires us to keep something.

Your choices and rights

  • Guests can change a reply, cancel a booking, or turn off reminder emails from their event page or the link in an email. Messages about an event you're booked for, such as a change of time or place, still arrive.
  • Anyone can ask us to show, correct or delete their personal information, or to explain how it's used. Write to [email protected]. We reply within 30 days and may need to confirm who you are. For guest information, we may involve the event's host.
  • Depending on where you live, you may have further rights under local law. We will honor them.

Security

Connections are encrypted, private guest links are secret and can be turned off by the host, and staff access is limited to what is needed to run the service. No system is perfectly secure; if a breach affects your information, we will tell you as the law requires.

Children

PandEvent is not directed to children under 13, and hosts must not use it to collect information from them. A host may list a child as a plus-one or guest name for a family event; the host is responsible for having a parent's permission. If you believe we hold a child's information improperly, write to us and we will delete it.

Changes

We will update this page when PandEvent changes. For a significant change, we will tell hosts by email or in the app before it takes effect. The date at the top shows the latest version.
